Description:
Estonian Refugee Council is looking for a Project Coordinator to join its Head Office, playing a central role in the successful implementation of our international projects.
The main responsibility of the Project Coordinator is to manage the full project cycle, including coordination between various internal and external stakeholders to ensure smooth project delivery.
As a Project Coordinator, you will be an international hybrid worker, engaging with our teams and partners in Ukraine, Armenia, Georgia, Estonia, and beyond to ensure the effective and seamless progress of projects across the organization.
Main tasks:
- Keep our international projects on track from start to finish—planning, implementation, monitoring, and wrap-up.
- Act as the go-to person between head office, country teams, and partners to make sure everyone’s aligned.
- Organize and follow up on key project meetings like kick-offs, reviews, and close-outs.
- Help prepare donor reports (narrative and financial) and make sure they’re submitted on time.
- Liaise with donors to clarify project details, timelines, and any implementation questions.
- Coordinate with internal teams (programme, finance, MEAL, HR, communications) to ensure smooth delivery.
- Support project proposal development and launch preparation when needed.
- Gather lessons learned and help share knowledge across ERC’s programmes.
Expectations towards the candidate:
- You have a degree in project management, humanitarian/development studies, or a related field.
- You have proven experience in project coordination, ideally in the humanitarian or development sectors or Estonian state sector.
- You have a strong understanding of project cycle management, timelines, and reporting processes.
- You are highly organized, collaborative, and able to manage multiple workstreams simultaneously.
- You are fluent in Estonian and English (written and spoken).
- You are digitally savvy, with proficiency in Microsoft Office, Google Drive, and Slack.
What we offer:
- Gross salary of €2400–2600.
- A cosy office at Aparaaditehas in Tartu, Estonia and 32 flexible annual leave days.
- Opportunity to work partially remotely and with flexible hours.
- Innovative projects: Estonian Refugee Council is internationally known and recognised for its innovative humanitarian assistance initiatives.
- We support a collaborative and inclusive work environment where every team member is valued.
- Everyone is welcome—regardless of gender, religion, skin colour, national or ethnic origin, language, marital status, sexual orientation, age, socio-economic status, (dis)ability, political beliefs, or any other protected characteristic.
