Description:
The ERC’s Human Resource and Finance Assistant, based in Kyiv, Ukraine, is responsible for supporting the operations of the HR and Finance functions by helping supervisors collect and update employee records and miscellaneous information. Another responsibility you will take in this role is carrying out all accounting related tasks in Ukraine.
Main tasks:
- Assist in compiling and storing relevant personnel, financial, and administrative data while ensuring integrity, accuracy, and completeness
- Support invoice processing and benefits administration by keeping employee records, managing invoices and enrollment forms, and handling changes and terminations
- Support HR Officer in preparation of keynotes, draft reimbursement forms and other relevant financial and administrative documents
- Assist Finance Officer in preparing payments in online banking and processing bank statements in the accounting system.
- Assist Finance Officer in carrying out salary calculations and prepare payments.
- Managing the vacation and business trip of staff (prepare Orders and calculate the payments, reimbursement of tickets and hotel cost for staff)
- Assist in implementing HR and financial policies, procedures, standards and guidelines for in-country operations in line with HQ standards.
- Update internal documentation and notify staff when internal, local or general accounting and HR rules are changing.
- Follow up and update national staff vacation sheets, list of Employment contracts and similar docs.
- Assist HR Officer in recruitment process (send invitation/rejection email, schedule interview/meetings or other related recruitment process tasks)
- Other running and ad-hoc accounting tasks.
Expectations towards the candidate:
- Minimum of Bachelor’s Degree in Management, Accounting, Financial management or related field.
- Minimum 3 years professional work experience with accounting and HR procedures and standards.
- Previous experience in non-profit agency/grant-funded environment is desirable.
- Proficiency in spoken and written English is an assent, and Ukrainian or Russian.
- Solid organizational skills: detail-oriented, ability to multitask, set priorities, meet deadlines and plan own work.
- Solid computer skills, including high proficiency in MS Excel and finance related software.
- Strong interpersonal and communication skills and the ability to work effectively in a multicultural environment.
